Terms of Service & Booking Conditions

Last Revised: July 2026

Please read these terms and conditions carefully before making a booking. By reserving flights, booking Umrah pilgrimage packages, or arranging tours and holidays with Maqam Travel & Tours ("we", "us", or "our"), you agree to be bound legally by the conditions outlined below.

All bookings are subject to availability and are governed by English law. The contract comes into effect the moment we issue a formal Booking Confirmation Invoice.

1. Your Financial Protection (ATOL & Consumer Safeguards)

We provide complete financial peace of mind for our UK customers. Many of the flight-inclusive holiday and Umrah packages we arrange are protected under the **Air Travel Organisers’ Licensing (ATOL)** scheme.

When you buy an ATOL-protected flight or flight-inclusive package from us, you will receive an official ATOL Certificate. This details exactly what is financially protected, where you can find information on what this means for you, and who to contact if things go wrong.

2. Deposits, Balancing Payments, & Pricing

To secure your airline seats, hotel blockings near the Haramain, or tour itineraries, a non-refundable deposit is required at the time of reservation.

  • Final Balance: The complete remaining balance must be paid in full no later than 8 weeks before your scheduled departure date.
  • Late Payments: Failure to pay the balance by the due date gives us the right to cancel your itinerary and apply the cancellation charges set out below.
  • Price Adjustments: While we try to avoid changes, we reserve the right to correct promotional errors or pass on government-mandated tax variations (such as visa fee changes or fuel surcharges).

3. Cancellations & Alterations by You

If you or any member of your travelling party needs to cancel or modify your trip, the lead passenger must notify us immediately in writing. Because we incur costs from airlines and destination management suppliers from the moment a reservation is locked in, cancellation penalties apply:

Notice Received Prior to Departure Cancellation Charge Incurred
More than 56 days Loss of initial deposit only
29 to 56 days 50% of total booking cost
15 to 28 days 75% of total booking cost
14 days or less 100% of total booking cost

4. Passports, Visas, and Health Regulations

It is your personal responsibility to ensure you possess valid travel credentials.

Important Passport & Visa Rule: Passports must be valid for a minimum of 6 months from your date of return to the UK. For Umrah pilgrims, all required visa entries are contingent on approvals issued by the Ministry of Hajj & Umrah in Saudi Arabia. We cannot be held liable if entry visas are rejected due to shifting state regulations or incomplete personal documentation.

5. Flight Schedule Changes & Force Majeure

All flight operations, times, and routes are subject to change by commercial carriers. Maqam Travel & Tours is not responsible for delays, cancellations, or changes caused by events beyond our reasonable control (Force Majeure). This includes, but is not limited to: severe weather events, airport closures, strikes, political unrest, or technical safety groundings by civil aviation authorities.
